Epic One, by Hearken AI

All your business data. One assistant.

Epic One is the first product built by Hearken AI: it connects to the ERP and CRM you already run and puts every record a user is allowed to see one question away, from the first day. Teach it your recurring tasks and it does those too, with a person approving every change. And it still handles the paperwork: meetings in, finished documents out.

Connected from day one

Your ERP and CRM, instantly askable

Connect Epicor Kinetic, E2 JobBoss², NetSuite, Salesforce, HubSpot, or another system from the integrations list, and every job, quote, PO, and customer record becomes a plain-English question. Each user sees only what their own login already permits; your permission setup carries over untouched.

The task library

Teach it your tasks. Then stop doing them.

Explain a routine once, in chat, with a document, or a screen recording, and it becomes something Epic One does on schedule, with approval gates on every write.

Quoting

Quote new jobs from your history

Pulls job costing from past runs of similar parts (materials, setup, cycle times) and drafts the quote for you to adjust and send.

Purchasing

Source parts and draft RFQs

Reads the job specs in your ERP, finds candidate suppliers, and drafts request-for-quote emails you approve before they go out.

Quoting

Check competitor pricing

Watches the market for the work you quote most and flags where your pricing sits high or low, with the sources it used.

Purchasing

Expedite late POs

Scans open purchase orders for at-risk deliveries every morning and drafts vendor follow-ups before they cost you a ship date.

Sales

Chase overdue invoices

Pulls your AR aging, drafts firm-but-polite follow-up emails, and sends them only after you approve each one.

Purchasing

Flag stock below reorder point

Watches inventory against reorder points and drafts the PO, with quantity, vendor, and price history attached, for a human to approve.

Sales

Keep the CRM current

After a call or meeting, logs the notes, next steps, and deal stage in your CRM so the pipeline reflects reality.

Reporting

Build the Monday-morning report

Assembles your ops and sales report from live ERP and CRM data (jobs at risk, quotes outstanding, bookings, shipments) before you sit down.

Answers

Answer anything, instantly

“What was our margin on the Acme job?” “Which quotes go stale this week?” “Who touched work order 4471?” Ask in plain English, get the answer with sources.

Documents

Meetings in, documents out

Every meeting, recording, and work session comes back as finished paperwork, in your company's own formats.

Upload a meeting, get the paperwork

Drop in a recording or transcript (recordings are auto-transcribed). You get a summary, then pick the documents you want: minutes, action items with an Excel tracker, or a full report.

Documents in your formats

Point it at sample files in your Dropbox and it learns your company’s own document structures, so what comes back looks like yours, not a template.

The design-spec trick

Say “start design spec” and “end design spec” out loud during a meeting, and Epic One automatically produces a separate Design Spec document from that stretch.

Record a process, get a training guide

Screen-record any process and get back a formatted End User Guide with numbered steps and screenshots.

Work-session records

Recorded work sessions become internal logs or client-ready summaries: customer details, tasks, screenshots, time tracking, and follow-ups included.

Delivered where you work

Finished documents show up as download cards in chat and are stored permanently in your Dropbox.

Knowledge

A memory your company keeps

Everything anyone teaches it stays taught, and comes back with sources.

Knowledge that compounds

Tell it “Remember that Acme’s payment terms are Net 45” and it does. Ask later and you get the answer, with sources.

Learns from anywhere

Websites, Dropbox folders, past transcripts, training materials. Epic One ingests them all into your company’s memory.

Customer history on demand

“What have we done for Acme this month?” gets a recap built from saved work sessions and documents.

Messaging

A teammate, not a tab

Web app, mobile app, and text message. Epic One lives where your team already talks.

Everywhere your team is

Web app, mobile app, and SMS. Epic One meets your team where they already are.

Team messaging & presence

In-app messaging with text-message fallback and online presence indicators, so the loop stays closed.

Voice in, voice out

Talk to it and have it talk back, with customizable avatar display options.

FAQ

Questions, answered

What can each of our people see through Epic One?+

Exactly what their own ERP or CRM login can see, nothing more. Access is scoped to each user’s own credentials, so your existing permission setup carries over on day one.

Do we need an ERP system to use Epic One?+

No. The core features (documents, knowledge, procedures, team messaging) work for any business. ERP and CRM connections are where it shines, but they’re optional.

What documents can Epic One produce?+

Meeting minutes, action items with Excel trackers, reports, training guides with screenshots, work-session logs, and formatted Discovery, Planning, and Design Spec documents.

How does Epic One learn company knowledge?+

Through meeting transcripts, uploaded documents, Dropbox folders, websites, screen recordings, and direct instruction.

Can the AI change business systems without human involvement?+

No. Changes require a person’s approval via a write gate with full audit logging.

Where does our data live?+

On a dedicated company server with an isolated database, its own encryption keys, and nightly encrypted backups.

Is our data used to train AI models?+

No. Processing uses Anthropic’s commercial API, which prohibits model training on customer data.
